Client Terms

Version 2.0. Effective October 13, 2026.

These terms apply to every booking with Sapphire Sky Events LLC, a Georgia limited liability company ("we", "us"). We serve Georgia, Alabama, Florida, South Carolina, North Carolina and Tennessee. Your signed proposal and these terms form one agreement. If they differ, the signed proposal controls.

1. Booking and payments

  • Your date is reserved when you sign the proposal and pay the booking payment.
  • Bookings over $2,000: a booking payment of 25% of the contract price, then the remaining 75% in one or more scheduled payments.
  • Bookings of $2,000 or less: one payment of the full amount.
  • Each invoice is due within 14 days after we send it. The full balance is due no later than 14 days before your event. If you book within 14 days of your event, the full amount is due at signing.
  • The payment schedule carries no interest or finance charge.
  • Bank transfer (ACH) is free. Credit card payments may include a surcharge equal to our processing cost, never more than 3%. It is shown before you pay. Debit cards have no surcharge.
  • Prices do not include sales tax where it applies.

2. Late and returned payments

  • If a payment is more than 10 days late, a late charge of $25 applies once for that payment.
  • Business clients: instead of the $25 charge, a late charge of 5% of the overdue amount (maximum $250). Balances more than 30 days overdue accrue interest of 1.5% per month (18% per year).
  • A returned payment costs $30, after written notice as Georgia law requires.
  • We may pause design, ordering and delivery while a payment is overdue. If the balance is not paid by the event, we may cancel the booking under section 3.

3. Cancellation

You may cancel in writing to info@sapphireskyevents.com. We reserve your date, decline other clients, and buy or make items for you. Because that loss is hard to measure in advance, you agree the amounts below are a reasonable estimate of it, not a penalty.

  • Notice received more than 180 days before the event: 25% of the contract price (the booking payment).
  • 91 to 180 days before: 50%.
  • 31 to 90 days before: 75%.
  • 30 days or fewer before: 90%.

Payments already made count toward this amount, and we refund any excess within 15 business days. Custom, printed or special-order items already made or ordered are charged in full, even if the schedule shows less. If we cancel for a reason within our control and cannot offer a substitute you accept, we refund everything you paid.

4. Rescheduling and changes

  • You may move your date once, with our written approval, to a date within 12 months of the original. The fee is 10% of the contract price (minimum $250, maximum $750). The new date depends on our availability.
  • A request made 30 days or fewer before the event is treated as a cancellation unless we agree otherwise.
  • Changes requested fewer than 30 days before the event depend on availability. Reductions in that period do not lower the price.

5. Event day and venue

  • You confirm the venue allows our setup, effects and timing. Venue rules, access delays or a venue's refusal do not create a refund.
  • Final layouts and guest counts are due 14 days before the event. Signage wording and insurance certificate requests are due 30 days before.
  • Inspiration photos show style and direction. Natural materials, colours and venue lighting mean the result will not be identical.
  • If we cannot provide a contracted item, we may offer a comparable substitute, a credit or a refund for that item.

6. Rentals and special effects

  • All décor, equipment and effects remain our property. Please do not move, alter or let guests use them except as intended.
  • Loss or damage beyond normal wear is charged at repair or replacement cost. A refundable security deposit may be shown in your proposal. We return it, or list any deductions, within 14 business days after pickup.
  • Cold sparks, haze, low fog and similar effects run only where the venue and fire marshal allow them. Our technician may stop an effect for safety. A safety stop is not a breach.

7. Additional fees

These apply only when the situation occurs. Your proposal may show other agreed fees.

  • Special effects travel beyond 35 miles from our base in Cumming, GA: an additional travel fee applies. For décor, delivery is quoted in your proposal.
  • Waiting time or added labor: $75 per crew member per hour.
  • Pickup after 11 PM: $250 (after 1 AM: $400).
  • Extra trip: $150 per vehicle. Next-day pickup coordination: $350.
  • Changes requested fewer than 30 days before the event: 15% of the item price (minimum $150).
  • Extra design revision after the second round: $150 per round.
  • Storage of your items after the event: free for 5 days, then $25 per day.

8. Photos and videos

We may photograph and film our work at your event, as described in our Photo & Video Policy. You can opt out in writing before the event.

9. Responsibility and claims

  • To the extent Georgia law allows, our total liability for any claim is limited to the amount you paid for the affected item or service. This limit does not apply to personal injury or property damage caused by our negligence, or to our wilful misconduct.
  • Please report any problem in writing within 5 days after the event, so we can review it while the facts are fresh.
  • Before disputing a charge with your bank, please write to us and give us 10 business days to resolve it.
  • Delays caused by events beyond anyone's control (severe weather, government orders, venue closure) do not make either side liable. We will first offer a new date or a credit.

10. Law and versions

  • Georgia law governs these terms. Court cases are filed in Forsyth County, Georgia, or the federal court serving it.
  • If a court finds one term unenforceable, the other terms still apply.
  • The version in effect on the day you sign governs your booking. Earlier versions are kept on our Previous Versions page.
